Summary The Office Coordinator is responsible for most office management duties for the Director of Facilities Management and the Supervisor of Plant Operations. Provides assistance in the day to day administration of the department. The Office Coordinator performs secretarial duties, arranges appointments/meetings, coordinates work orders and preventive maintenance programs, type correspondences, policy and procedures. Maintains files, takes minutes, manages the purchasing and accounts payable systems. The Office Coordinator is responsible for maintaining all payrolls entered daily. Performs all other duties as assigned.
The Office Coordinator performs duties and conducts interpersonal relationships in a manner designed to project a positive image of the department and the hospital. Works with supervisor/manager and other members of section or department to promote a harmonious work environment. The Office Coordinator ensures that all contacts with patients, the public, physicians and other hospital personnel are carried out in a friendly, courteous, helpful and considerate manner. Answers telephones in a prompt and courteous manner. The Office Coordinator displays concern and provides assistance or explains procedures as appropriate to callers or in face-to-face situations. Dedicated to meeting the expectations and requirements of internal and external customers. The Office Coordinator works with customers to identify problem areas and recommend solutions.
Position Qualification (Training, Education, Experience, Skills and Abilities):
High School diploma or graduate equivalent degree (GED)
Computer skills in word processing, database and spreadsheets
Two years of secretarial experience required for this Office Coordinator role
Excellent verbal and written communication skills
